Late Cancellation & No-Show Policy

- Appointment times are reserved specifically for you. Late cancellations and missed appointments limit our ability to care for other patients who may be waiting. Our updated policy outlines notice requirements, applicable fees, and deposit guidelines for extended procedures.
- We understand that emergencies happen, and exceptions may be made at the discretion of the office.
Cancellation/No-Show Policy
At Harl Family Dentistry, we reserve appointment times exclusively for each patient to ensure you receive the best care possible. Missed appointments or late cancellations create scheduling gaps and prevent other patients from receiving needed care. To respect the time of both our providers and our patients, we have the following policy:
Hygiene Appointments (Cleanings, Exams, Preventive Care)
• Cancellation Window: Cancellations must be made at least 48 business hours in advance.
• Late Cancellation/No-Show Fee: Appointments canceled with less than 48 business hours’ notice, or not attended
(“no-show”), will be charged a $50 fee per reserved hour.
• In order to schedule an SRP, the patient must pay either their insurance deductible fee or a $100 deposit for uninsured patients.
Doctor Procedure Appointments (Fillings, Crowns, Extractions, etc.)
• Cancellation Window: Cancellations must be made at least 48 business hours in advance.
• Late Cancellation/No-Show Fee: Appointments canceled with less than 48 business hours’ notice, or not attended, will be charged a $75 fee per reserved hour, depending on the length and complexity of the procedure scheduled.
Extended Procedure Appointments (Treatment of $1,000+ in fees)
• Deposit Requirement: A $100 deposit is required at the time of scheduling.
• Deposit Forfeiture: If the appointment is missed or canceled with less than 48 hours’ notice, the deposit will be
applied as a no-show fee to cover staff and provider costs associated with lost time.
Allowable Exceptions
We understand emergencies happen. Exceptions may be made at the discretion of the office for:
• Medical emergencies or hospitalizations
• Severe illness or contagious conditions
• Family emergencies (e.g., death in the family)
• Inclement weather resulting in unsafe travel
• Other exceptions may be accepted, as determined by office staff on a case-by-case basis.
